School gate passes and visitor cards: a simple system for safer gates
The quick answer
Give each family a numbered pick-up pass linked to the student, give visitors a coloured card that is collected at exit, and give vehicles a separate pass. Number every card, keep a register, and cancel lost passes the same day. Guards then check one card instead of remembering faces.
School gates are busiest at the end of the day, when dozens of parents, drivers and relatives arrive at once. A guard cannot remember every face. A simple pass system lets the guard check one card and know that the child is going home with the right person.
Three kinds of pass
| Pass | Who gets it | What to print |
|---|---|---|
| Parent pick-up pass | Each family (one or two per student) | Student name, class, pass number, photo of the authorised adult if possible |
| Visitor card | Anyone visiting for a meeting or delivery | "VISITOR", serial number, school name, a distinct colour |
| Vehicle pass | School vans, private cars of parents and staff | Pass number, vehicle number, validity |
Setting it up
- Decide who is authorised. Ask parents to name the adults who may collect their child, with a photo where possible.
- Number every pass. A serial number links the pass to your register and makes a missing pass easy to trace.
- Use colour. For example green for parent passes, yellow for visitors and blue for vehicles. Guards can check from a distance.
- Issue two parent passes per family, so both parents or a parent and a driver can collect the child.
- Keep a register. Record pass number, student, authorised adults and issue date.
At the gate
- The adult shows the pick-up pass; the guard checks the number against the class list or the student's own ID card.
- Visitors leave an identity proof at the desk, take a visitor card and return it on the way out.
- Vehicles show the vehicle pass at the entry point; unknown vehicles park outside.
Lost passes and changes
- Parents report a lost pass to the office the same day.
- The office marks the number as cancelled in the register and tells the guards.
- A replacement pass gets a new number, never the old one.
- When a family changes the authorised adults, issue new passes and collect the old ones.
Making passes last
Passes are handled every school day for a year or more. PVC passes survive rain, bags and pockets far better than laminated paper. A punched slot or a holder lets parents hang the pass in the car.
Frequently asked questions
Should the parent's photo be on the pass? It makes checking much easier, but it needs parents' consent and recent photos. Many schools start with numbered passes and add photos later.
Can the pass work with our ERP or attendance system? Yes, if the pass carries a number or QR code from your school records. TACHY School ERP includes attendance and QR scanning.
How many visitor cards do we need? Enough for your busiest hour, usually 20 to 50 for a school, plus spares.
Where can we order gate passes? ICardPrint prints numbered gate pass cards on PVC. Current prices are on the price list.
